When your bank shows a payment from Meesho, Flipkart or Amazon, do you check if it is the right amount? Most sellers do not. With hundreds of orders in each payment cycle, small mistakes are easy to miss: a wrong weight charge, a commission taken twice, a delivered order that was never paid. Each mistake is small, but over a year it adds up to real money.
Common reasons a payment is short
- Order delivered but not paid yet or missing from any settlement file.
- Wrong weight slab so shipping is charged higher than it should be.
- Fee charged at the wrong rate or on the wrong amount.
- Return or RTO charged even though the order was delivered, or charged twice.
- Penalty or adjustment that you did not expect.
- Returned goods did not reach you but you were still debited.
How to check, step by step
- Download the settlement (payment) report for the period from the seller panel, and the orders report for the same period.
- Match each order using the order ID or sub-order ID.
- List delivered orders with no payment. Check if their payment date is simply not due yet. The payment cycle is usually several days after delivery, so only look at orders past that time.
- Compare the expected payout with the actual payout. Expected is the sale amount minus the normal fees for that SKU. A large gap on one order needs a look.
- Look at the deductions line by line. Weight charges and fees that look higher than your usual are the first ones to check.
- Group by reason. If the same SKU always has a weight issue, the weight on your listing is probably wrong, and fixing it stops the loss for all future orders.
How to claim
- Raise a ticket in the seller support section, with the order IDs, the amount you expected and the amount received.
- Attach proof: the settlement line, the delivery status and, for weight issues, a photo of the product on a scale with the packaging.
- Do it within the marketplace's time limit for disputes. Old claims are often rejected, so check monthly rather than yearly.
- Keep a list of what you claimed and what was refunded, so you can follow up.
Tip: do this check every payment cycle, not once a year. Each month's report is small and easy; a year's report is not.
Why Excel makes this hard
You must match thousands of orders against settlement lines, work out the expected amount for each, and keep it updated every week. Seller Book does this when you upload the reports: it lists delivered-but-unpaid orders, short payments, and wrong commission and weight charges, with the amount for each, so you can send the claim straight away.
Let Seller Book do this for you
Upload your marketplace reports once. Seller Book shows your real profit per SKU, short payments and returns that never reached you.
